Manama: In line with latest trends, the eGovernment Authority (eGA) has launched the cloud computing version of the eMeeting++ (Meeting Plus Plus) System which has made a major stride towards conducting secure, paperless meetings. The system makes it possible to conduct meetings via tablets anywhere, any time.
There has been a great demand by several entities in utilizing such system due to requiring a method that saves time, resources and automate repetitive processes.
eMeeting++ provides its users with easy access to data from previous, current and future meetings such as agendas. It displays the relevant meeting data in a more convenient way – eliminating the need to make manual update to meeting files.
The system also makes it possible to access files related to other participants’ agendas, which saves time and effort. It also provides a comment section which allows participants to discuss some aspects before the meeting; and offers soft copies of all the relevant documents which are environmental-friendly and ensures a high-level of confidentiality and security.
The system offers a number of features in both Arabic and English such as instant messaging, note taking, posting comments privately or publically to all meeting participants, accessing private files offline, as well as sending and receiving attachments via email.
The system has been designed to overcome a large number of challenges that arise from conventional meetings such as the inaccessibility to data from previous meetings, the inability to consult some people if they cannot be physically present at the venue, the subsequent delay in decision-making and voting; as well as the inability to have a discussion prior to the commencement of meetings.
Additionally, eMeeting++ has been designed to avoid mistakes that result from printing and assembling files that may be too heavy and inconvenient to move around. It also overcomes the difficulty of archiving and presenting them in other meetings.
It has been designed to provide an efficient solution to employees regardless of their management level whether they are executive and non-executive officers, high-level management, managers and executive secretariats. It allows early preparations for meetings and communications between various participating parties wherever they are with an easy access to files. The system also allows participants share voice files and annotates the meetings.
The system is currently being utilized by the Cabinet Affairs Meetings, Supreme Council for Information Communication Technology (SCICT), and Tender Board. It is also being used in the following committees – the Ministerial Committee for Legal Affairs, Ministerial Committee for Social, Transportation and Communication Services, along with the Financial and Economic Affairs.
eMeeting++ comes in line with the advanced National eGovernment Strategy 2016 which aims to support national priorities and facilitate the process of decision-making for leaders in the public sector by implementing two comprehensive systems to develop the mechanism of decision-making in the public sector.
